Job Summary: Student & Programme Administration Officer is responsible for overseeing the planning, academic affairs, and office management activities to ensure the smooth operation of the campus. This role involves coordinating with professors, managing logistics, handling student affairs, and supporting quality management processes.
Key Responsibilities:
Planning:
· Schedule courses with professors and manage logistics, including booking hotels and creating lecturer profiles.
· Provide front desk reception for professors, sending summary communications, and assisting with classroom setup.
· Organize exams, coordinate with partners for invigilators, and prepare exam materials.
· Manage student registrations and course feedback in Aurion (ERP).
· Define the academic calendar and key jury dates in collaboration with the team and EM Normandie France.
2. Academic Affairs:
· Provide front desk reception for students and manage student lists, including visa-related information.
· Collect grades from professors, compile them for jury presentation, and issue transcripts.
· Monitor student attendance, prepare reports for the Head of Program, and organize Attendance Committee meetings.
· Organize juries, grade commissions, and disciplinary committees.
3. Office Management / Quality:
· Support the Quality Manager in the QQI accreditation process.
· Manage external providers (hotels, Adecco, building contractors, landlords, etc.).
· Assist the Campus Director with day-to-day activities.
· Organize team weekly meetings and annual events.
Job requirements
Mandatory Qualifications:
· Proficiency in French and English, spoken and written
· Bachelor's degree in Education, Business Administration, or a related field.
· Experience in academic administration and office management.
· Strong organizational and logistical skills.
· Excellent communication and interpersonal skills (front office, e-mail, telephone…)
· Computer literacy: good working knowledge of Word, Excel, PowerPoint and Outlook
Hours of work: 38 hours per week (4 days on-site, 1 day remote)
